See where your data is going and regain control

With the (not so) hard work of Data Classification over with, you can now unlock its true value.

Data recall

With the help of data discovery solutions and Data Classification software data is classified into data sets, empowering your users to recall vast amounts of documents, or very specific sets of documents through data retrieval using the metadata applied during Data Classification.

So, whether you want to find all files created in 2001 that aren’t financial documents, or whether you are looking for contracts with a certain partner, created in a single 4-week period over a specified value, with the use of data sets, you will have empowered your staff to retrieve this level of information in just a few short moments.

The route your data takes

Not only can your business locate specific data faster, it’s also easier to see what’s happening to this data. Using User IAM solutions, you can determine who is allowed to see your data, how it is accessed and when. With other third-party solutions such as UEBA, it’s possible to see where your data travels to. Does it stay within your organisation, or has it been sent to the other side of the world?

Understanding the power of visibility …

Visual reporting and auditing tools within Data Classification solutions can help you to understand who is able to see, edit and send your sensitive data. Data Classification solution dashboards can give you visibility on what’s happening to your data, so you’ll be able to:

  • Review the classification profile and distribution of your data to identify areas where classification is not being applied correctly to pinpoint potential education opportunities.
  • Understand a timeline of events for a granular understanding of the journey of your data and the best way to protect it.
  • See how data classifications are being amended to spot potential data security risks and highlight policy issues that need addressing.
  • Keep tracks on how your data is being protected to spot the early warning signs of potential data loss risks and educational needs when you see how users are attempting to send data, and where DLP has stepped in to stop data loss, by user and business unit.
  • Know where your data is being stored and if it’s stored in the appropriate place so you can identify users who need further training on your company’s data protection policy.

… And controlling your data

Only now that your data is classified can you regain control. Using third-party solutions [link to downstream solutions] that integrate with your Data Classification software, you can identify vulnerabilities in your data security so you can secure your data effectively, putting your most sensitive data out of reach of those without the right permissions.

Deployments

We secure the entire journey of your data, from consultancy and technical design, right through to installation, training and support.

Challenge: Controlling data with vast user access

With over 4000 end users, an Insurance industry client came to HANDD for help. They needed to ensure policy details couldn’t be sent to unauthorised external parties by email. Using data classification, we identified and classified new documents containing policy numbers. Then we integrated the classification platform with the client’s Symantec DLP solution, enabling DLP to work more efficiently to ensure sensitive content only travels to cleared recipients.

Challenge: Managing compliance with large volumes of legacy data

With billions of records to sift through and strict compliance mandates, a global bank needed to get control over their legacy data. First, using a discovery tool HANDD helped them identify their sensitive data and discover where it was stored. Then, we labelled their data using Data Classification. This enabled them to apply protective measures efficiently to their most sensitive files for the first time.

Challenge: Ad-hoc application of protective measures

Staff typing SECURE into email subject lines to trigger downstream protection of sensitive data left plenty of scope for error. At this leading financial services organisation classification was inconsistent and ad-hoc. Security of delivery was unreliable. They contacted HANDD for help improving their classification processes. We implemented a Data Classification solution that would automatically classify emails. Integrating with a message gateway it prevents data falling into the wrong hands.
